Operations Assistant

They will also be asked to work closely with our Verification department and perform assigned talks related to our digital products.

We help thousands of businesses manage their print advertising in our HomePages Community Directories, CloseBy Text Marketing, and online listings, content, and reviews with OPTIMA; Online Visibility and Reputation Management Services. We partner with businesses to help them win more customers on the major search engines such as Google, Bing, Yelp, YP, and Apple Maps . In 2015, we were named a Google Certified Agency and work with representing businesses with Google Street View technology.

 Example of Duties:

 Operations Duties and Responsibilities include, but are not limited to:

  • Office Supply and Forms Inventory
    • Perform weekly inventory review
    • Place orders for Operations Manager approval
    • Stock inventory upon order arrival
    • Maintain inventory organizational structure 
    • Make recommendations around changes to PAR levels
  • General Maintenance
    • Building(s)
    • Common areas cleaning and sanitization
    • Grounds
    • Corporate Vehicle
  • Satellite Office Maintenance
    • Opening new satellite offices
    • Closing and re-locating satellite offices
    • Quality Control for stocking and cleaning
  • Perform general office administrative and clerical duties
  • Complete errands, as needed
    • Pick up dry cleaning
    • Post Office drop offs
    • Gas in company vehicle
    • Pick up/drop off at Trophy vendor
    • Miscellaneous local supply pick up
  • Open and/or Close Corporate Office
  • iPad Inventory Maintenance
    • Assist with sales rep outreach for returned iPads
      • Enter notes into tracking system
      • Scheduled follow up in accordance with established procedures
    • Proper sanitizing & updates on returned iPads
    • Update SnipeIT
  • Assist Customer Experience with returned Optima Materials
  • Assist Sales Support with the processing of returned Rep Materials
  • Provide back-up support for certain Operations Manager duties during periods of absence

 OPTIMA™ Fulfillment Duties and Responsibilities include, but are not limited to:

  • Review Links: Search web for customer’s presence on up to 27 search sites and collect website links, when available.
  • Recommendation Cards: Create a customer’s recommendation card to send to third party printing vendor.
  • Domain Site Cleanup: Efficiently and effectively remove customers’ listing information including images on the selected sites when a customer does not renew.

 Other Duties and Responsibilities include but are not limited to:

  • Back up to the Receptionist during periods of absence or break periods.
  • Back up for weekly updates of Fulfillment related spreadsheets and Fulfillment calendar
  • Any and all other duties as assigned.

 Requirements

Educational and Other Requirements:

  • Four-year college degree preferred but not required.
  • High School diploma or equivalent required.
  • Valid Driver’s License with proof of insurance required.

 Core Competencies:

  • Basic computer skills and working knowledge of Microsoft Office Suite required
  • Ability to multitask on a daily basis and work in an ever-changing environment
  • Ability to work and stay on task with limited interaction with your supervisor
  • Ability to prioritize projects and strong problem solving skills
  • Must be able to keep yourself and your work area organized and neat

 Functional Demands:

  • Ability to sit for extended periods of time performing computer work
  • Ability to physically move around and lift approximately 20-50lbs

Full Time: Monday-Friday 8:00-5:00
